Privacy policy.

How we handle personal data, in line with the Kenya Data Protection Act (2019). Last updated 4 October 2026.

In plain terms: we collect only what we need to reply to you and to run our business, we measure how the website is used only if you say yes, we do not sell personal data, and you can ask us what we hold and have it corrected or deleted.

1. Who we are

This website is operated by TrendPro Systems Limited, 1st Floor, East End Plaza, Nairobi West, P.O. Box 3622–00506, Nairobi, Kenya. For the personal data described in this policy we are the data controller. We are registered with the Office of the Data Protection Commissioner (ODPC) as a data controller and data processor.

When we build or run software for a client, we usually handle the personal data in that system as the client’s data processor, on the client’s instructions and under a data processing agreement. This policy does not cover that data. If your data is in a system we built, please contact the organisation that runs the system.

We will not use PageSense or any analytics tool to capture what you type into the contact form. We do not run advertising on this site and we do not make decisions about you using automated profiling.

3. Cookies and similar technologies

When you first visit, a small banner asks whether we may measure how the site is used. Until you press Accept, Google Analytics and Zoho PageSense are not switched on for you. Pressing Decline keeps them off.

You can also clear this site’s data in your browser settings at any time, or block cookies in your browser.

4. Who we share data with

We do not sell personal data. We share it only with service providers that help us run the business, and only as far as they need it:

  • Netlify — hosts this website.
  • Google — Google Analytics (if you accept) and the embedded map.
  • Zoho — PageSense (if you accept) and the customer-relationship, email-campaign and support tools we use to manage enquiries, clients and communications.
  • Professional advisers and authorities — our accountants, auditors and lawyers, and public bodies where the law requires us to disclose information.

These providers act on our instructions and are bound by their own data-protection terms. If our business were ever sold or restructured, personal data could pass to the new owner on the same terms as this policy.

5. Transfers outside Kenya

Some of these providers process data outside Kenya. Where they do, we rely on the safeguards the Data Protection Act allows — such as the provider’s contractual commitments and the protections in the country concerned — and we limit what we send. If you would like more detail about a particular transfer, ask us.

6. How long we keep it

  • Enquiries that do not lead to work: for up to 24 months, then deleted or anonymised.
  • Clients, partners and consultants: for the life of the relationship, then for as long as tax, accounting and company law require us to keep records.
  • Marketing contacts: until you opt out, or until the contact is no longer accurate or relevant. If you opt out we keep your address on a suppression list so that we do not contact you again.
  • Analytics data: according to the retention settings in our analytics accounts, which we keep as short as is useful.

7. How we protect it

This site is served over an encrypted connection. We limit access to personal data to the people who need it, keep our accounts protected, and follow written procedures for handling client and personal data. If a breach of personal data is likely to harm you, we will tell the ODPC and, where required, you, within the time the Act sets.

8. Your rights

Under the Kenya Data Protection Act (2019) you have the right to:

  • be told how your data is used (this policy is part of that);
  • ask for a copy of the personal data we hold about you;
  • ask us to correct data that is wrong or incomplete;
  • ask us to delete your data, or to stop using it, where we no longer have a good reason to keep it;
  • object to our use of your data, including for direct marketing, at any time;
  • receive your data in a commonly used format, or have it passed to another provider, where the Act gives you that right; and
  • withdraw your consent at any time, for example through the cookie choice above. Withdrawing does not affect what we did before.

To use any of these rights, write to info@trendpro.co.ke. We may need to confirm who you are first, and we will reply within the time the Act and its regulations require.

If you think we have handled your data wrongly and we have not put it right, you can complain to the Office of the Data Protection Commissioner at odpc.go.ke.

9. Children

This website is for organisations and working professionals. It is not aimed at children, and we do not knowingly collect their personal data.

10. Links to other sites

Our pages and articles may link to other websites, and our social media icons lead to third-party platforms. We are not responsible for how they handle data, so please read their policies.

11. Changes to this policy

We will update this page when what we do changes, and change the date at the top. For significant changes, we will make that clear on the site.
